Our school district is seeking a highly organized, detail-oriented professional to serve as the Data Management and Reporting Coordinator. This position plays a critical role in ensuring the accuracy, integrity, and effective use of district data systems that support students, staff, and district operations.

 

The Data Management and Reporting Coordinator oversees the management of the district’s data platforms, with a primary focus on the student information system and required state reporting. This role works collaboratively with building leaders and department staff to promote accurate data entry, troubleshoot system challenges, and provide guidance that strengthens the reliability of district information.

 

In addition to maintaining core data systems, the coordinator supports cross-departmental operations by providing backup assistance to key operational areas such as payroll, accounts management, child nutrition and wellness, transportation, and maintenance. The position requires a strong commitment to precision, problem solving, and service to ensure that district data supports informed decision-making and efficient operations.

Position Purpose

The Data and Reporting Coordinator ensures the accuracy, integrity, and effective use of all district data systems. This position manages student information systems and required state reporting, serves as the district’s internal expert on data processes and compliance timelines, and provides cross-functional backup support to key operational departments. The role requires high attention to detail, discretion with confidential information, and the ability to coach and support staff in accurate data entry and reporting practices.

 

Essential Functions and Responsibilities

Data Systems Management

  • Serve as primary manager of the district’s Student Information System (SIS).
  • Maintain system integrity, user permissions, and configuration settings.
  • Develop and document internal procedures for data entry and system use.
  • Monitor data quality and conduct regular audits to ensure accuracy.
  • Troubleshoot data errors and coordinate with software vendors as needed.
  • Provide training and ongoing coaching to building and district staff to improve data accuracy and efficiency.

State and Federal Reporting

  • Prepare, validate, and submit required state and federal reports in compliance with Kansas State Department of Education (KSDE) timelines and guidelines.
  • Maintain reporting calendars and communicate deadlines clearly to stakeholders.
  • Research reporting requirements and ensure district compliance.
  • Serve as district liaison for state data collections and audits.
  • Maintain documentation of submission processes and validation checks.

Data Analysis and Reporting

  • Generate district, building, and program-level reports as requested.
  • Support leadership with enrollment projections, attendance data, assessment data, and other operational metrics.
  • Create user-friendly dashboards and reports to support decision-making.
  • Ensure secure handling of confidential student and personnel data.

Cross-Functional Operational Support

Provide trained backup support for:

  • Payroll processing
  • Accounts payable/receivable and general accounts management
  • Child Nutrition and Wellness reporting
  • Transportation routing or reporting systems
  • Maintenance work order systems
  • HR processes and systems

Coordinate and maintain district, building, and department calendars

Assist departments during peak reporting periods, staff absences, or emergency situations.

Compliance and Record Management

  • Maintain compliance with FERPA and other student data privacy regulations.
  • Ensure secure digital and physical records management practices.
  • Support audit preparation and documentation requests.

Qualifications

Required:

  • High school diploma or GED.
  • Experience working with data systems, spreadsheets, or databases.
  • Demonstrated proficiency in Microsoft Excel or similar software.
  • Ability to pass required background checks.

Preferred:

  • Associate’s or Bachelor’s degree in business, information systems, accounting, or related field.
  • Experience with a K–12 Student Information System.
  • Experience with state reporting (preferably Kansas).
  • Prior school district or governmental experience.

 

Physical Requirements

  • Ability to sit for extended periods.
  • Ability to operate standard office equipment.
  • Occasional lifting of up to 25 pounds.
  • Occasional travel between district buildings.
